Hi folks,
Any advice on the best way of doing OST online these days? About six years ago I facilitated a few on Qiqochat, which worked well, but I’m wondering if Qiqochat has changed hands as the website is not very transparent/accessible on this question. I also know there have been some big advances in Zoom too in the last six years in terms of people’s capacity to self select into Zoom rooms.
I have sent a note to Heidi Saul who used to do heaps of large scale OST facilitations on Qiqochat, but thought I’d also ask the question here.
Many thanks from drizzly Melbourne,
Michael Wood

Hi Michael,
I have used Zoom and Google Slides for online open space, and it has worked
quite well during the pandemic. And yes, with the advancement of Zoom -
there is so much more we can do with the breakout room feature these days.
Decided on Google slides - as participants shared that it felt more
“accessible” and less overwhelmed compared to navigating a digital
whiteboard like Mural/ Miro. Though, with Google Slides - just have to
double check that it is accessible to the participants, due to firewall
restrictions when using their organisation internet connection.

Ren Chang

Hi Michael
I would consider Qiqo for larger events.
My preference nowadays is Zoom combined with its own whiteboard opened inside, for meetings up till 30 maybe even 50. I will send you a screenshot of how it can look (will not get through to the list, as it does not allow attachments).
We used it in the 2nd circle in April for our Building Capacity OSTs.

I’m happy to share how I facilitate online open space using zoom and

Would anyone like to do a session with me that I can facilitate as an open

will offer dates in early July.

Hi Michael,
Thank you for reaching out.
Yes, QiqoChat is still owned and operated by my wife Sandra and I. You can
see Sandra's name here on the about page: https://qiqochat.com/about/events
In addition to open space, we also have build some great and affordable
tools for building online community between your scheduled events.
Today and tomorrow, for example, we're the platform being used for an
online open space for The Association for the Advancement of Sustainability
in Higher Education. Some open space facilitators use Qiqo for their
in-person events too, as the way to make it easy for all participants to
take notes in all the breakout spaces. You can change all the colors of
your event space to make it customized to your client.
The cost for QiqoChat is $1/day per person and you bring your own Zoom
license or you can rent one from us for $20 per Zoom for the duration of
your event. You're able to create an event space that is fully capable of
hosting a large (or small !) online open space in just a few minutes, each
with their own dedicated notes page. You can also create the final report
that combines all those notes pages with the click of a button.
We're still here and happy to help!

Hi Tres,
What a great offer! I would be happy to participate if you host an online open space. One suggestion: broaden the calling question a bit to something like:
What does it take to host great online Open Space gatherings?
In my practice, I’ve run them as short as one hour and as long as 3-days (5 hour days). I generally use QiqoChat for groups who intend ongoing interactions and Zoom+Google Docs for one-off gatherings and with groups that aren’t great with tech. I use G-docs for simplicity since most people have worked with them before. Here's a template https://docs.google.com/document/d/1nB_jsCQRwqppUFQhE7fjNBdztMriLqdyJc7yCf_SBeE/edit?tab=t.0 of my digital “tablecloth” for notes.
Google Docs can handle up to 100 people at a time so, with one exception, it has been adequate. That exception was the 3-day online Open Space on Reimagining Bookstores with 300 participants. We ended up organizing 3 subgroups that people could move among. Everyone was together for the opening and closing. We broke into 3 groups, each with a process host and a tech host, for creating the agenda(s) and doing breakout sessions. After the fact, the notes were organized on this website https://reimaginingbookstores.org/conversations/.
Peggy
P.S. Report on hybrid event.
BTW, I realize I never reported back on how my hybrid Open Space went. As a reminder, it was a staff meeting of a small business, about 20 people with three of them online. We used a buddy system where each of the three had a partner in the room. If the partner and remote person wanted to go to different breakouts, the in-room person passed the computer with the remote person on Zoom to someone in the desired breakout group.
It worked well enough that all of the remote people stuck around for the whole 6-hour meeting. The breakout groups worked pretty well. Remote people could hear and participate. We found that in the large group we needed better tech for remote people to hear well. The group said they would do it again but think through how to improve the main circle tech.
A couple factors made a difference: it was an intact group where everyone knew everyone else. Because they were already a team, they were motivated to make it work. Having someone dedicated to the tech was critical.

One of the aspects about QiqoChat that I’ve always loved compared to doing it all via Zoom and whiteboards/Google docs is that it gives me the feeling closest to a live Open Space.
Participants can linger in between the rooms, peak into the notes, see who is where, without actually going into the room.
It’s like when I roam around during a live OST event, witnessing different sessions in parallel in a large room, and I get to feel into „which one is drawing me in?“
This activates more of my intuitive self, which to me is one of the key aspects of my love for OST in the first place.
I also get a much better sense of the overall event / vibe / of everything that is going on than just with Zoom and a Zoom whiteboard or even external whiteboard.
Very likely I also feel the care, energy and alignment with OST itself that Lucas and Sandra have been / are putting into Qiqo. This informs the space.
Which to my knowing isn’t the case with any other tech out there.
Warmly,
Marai

For anyone that is interested in gathering for an online discussion about
"How to create connection in an Online OST" I would like to host an online
session that will utilize zoom and google sheets. This will be a great
opportunity to collaborate, share best practices and connect while we try
and share together.
Please click on the poll link below and vote on dates that can work for
you. I will send out a calendar invite and zoom link on 7/7 for the date
that has the highest number of participants:

Thanks and looking forward to whoever shows up!
