Topic: How can we/do you support leaders/leadership teams who use OST for the first time in an all-staff meeting?
Convener and participant: Thomas
I have noticed that leaders of organizations often are a bit confused when being sponsors for their 1st Open Space (as are of course 1st time participants). I put the question up to learn more about how I can support the top leader and the leadership team to get the best out of the investment.

My process usually goes like this.
First meeting with sponsor/top leader - discernment to have clarity on why and what they want to achieve.
Planning meeting with sponsor, leadership team and employee representatives - in Sweden we have a strong labor movement. Sometimes some other "key-persons" from the employees take part.

"Sync-meeting" a few days before the OST the leaders are invited for a short call to check if there are any loose ends or questions. We also look at the design for the meeting and remind ourselves of the planned follow up.

After the OST we have a debrief meeting with the planning team, then a meeting with the leadership team and the conveners of action plans. (who is in which meeting can differ depending on the organization)
Sometimes we have further support for conveners such as a short facilitation training and mentoring circles.

Finally a follow up meeting looking at impacts and planning next steps (usually after 6 months).
Also I have some check-ins with the top leader, depending on their need.

What I want to do in the future is:
1. Develop how I can support the top leader more if she/he needs/wants more support.
2. Have a "second closing circle" after the OST, just once around with the planning team to hear how they experienced the OST and if there are any concerns that we should attend to.
I am curious to hear how others support 1st time leaders for OST. Welcome to share!
Best regards/Thomas Herrmann
